V skupini Impol uporabljamo aplikacijo DNA EQMS za organizacijo in vodenje različnih vrst sestankov.
Ena izmed ključnih prednosti aplikacije je možnost predhodnega pregleda agende, kar udeležencem omogoča pripravo lastnih prispevkov in s tem prispeva k učinkovitejši izvedbi sestankov. Posebej koristnim ocenjujemo najnovejši modul »tehnološki procesi«, ki bistveno olajša pripravo dokumentacije, potrebne za skladnost z zahtevami avtomobilske industrije. V okviru načrtovanja operacij tehnološkega procesa predpisujemo kontrole, metode in merila ter ocenjujemo tveganja.
Na podlagi teh vnosov se avtomatsko generirajo zapis poteka procesa, kontrolni plan in FMEA analiza.

Sistem upravljanja kakovosti predstavlja v naši stroki osnovo za delovanje in si ga pravzaprav ne znamo predstavljati brez ustrezne programske podpore. Z DNA-jem celovito obvladujemo vodenje dokumentacije sistema kakovosti, uporabljamo pa ga tudi za druge elemente našega poslovanja (sestanki, projekti, GDPR, ipd.). Sistem deluje logično in je uporabniku prijazen, hkrati pa izpolnjuje stroge farmacevtske zahteve. Zato bi ga priporočili tudi drugim.

DNA aplikacija je odlična za vodenje delovnih nalog, popisa poslovnih procesov, vodenja dokumentov in organiziranja sestankov. V okviru vodenja sestankov je aplikacija dobrodošla pri kreiranju in vodenju zapisnikov.

Kako vam aplikacija DNA pomaga pri delu, kaj vidite kot glavne prednosti aplikacije DNA, zakaj bi jo priporočili komu drugemu?
Nadzor nad formami, dokumenti in priročniki je popoln. Revizijska sledljivost je več kot dobrodošla kot tudi primerjava med različnimi revizijami priročnikov. Monitoring in analizo pritožb strank izvajamo skupaj z modulom akcije. Ustvarjanje zapisov delovne dokumentacije in arhiviranje skrajšuje timing za določeno nalogo. Arhirivanje je avtomatizem kot tudi pregled nad zapisi. Orodje nam je v veliko pomoč pri monitoringu nad neskladji, ki so posledica internih nadzorov, kot tudi posledica zunanjih nadzorov. Preko digitalnega dosjeja zaposlenega imamo nadzor nad usposobjenostjo (kompetencami) zaposlenih ter nadzor nad ponavljajočimi usposabljanji. Načrt zahtevanih usposabljanj system javlja avtomatično vsak ponedeljek, tako da zahtevanih usposabljanj posameznikov ni moč zgrešiti. Malce okorna za uporabo pri izgradnji modelov. Drugače pa se jo na veliko poslužujem pri sestavi zakonodajnih zahtev (HARD LAW & SOFT LAW) ter zahtev priročnika. Njihova medsebojna povezava mi omogoča, da takoj prepoznam novo zahtevo in njen vpliv na postopke v organizacijskem priročniku. Ni več težav pri vprašanju auditerja, kako spremljam zakonodajo in kako to vpliva na spremembo organizacijskega priročnika. Vedno jo predstavim zunanjim nadzornikom/auditerjem.
Prednosti uporabe…
V 4 letih uporabe smo imeli mogoče izpada za 20 minut. Omogoča izvedbe evidence in poizvedb na več načinov in variant. Težava pri izbiri uporabnikom prijazne variante. Skrajša čas izvedbe zunanjih in notranji auditov. Aplikacija ima vse podatke na enem mestu. Misli ZELENO. Ob uporabi DNA smo prešli na brezpapirno poslovnje (oddelek kakovosti) ob uporabi še ene apliakcije za izvedbo in kontrolo kontrolnih listov. Podatki so zelo transparentni. Vsaj enkrat mesečno naredim nadzor nad vnešenimi podatki. Kakovost vnešenih podatkov je zelo pomembna pri nadaljnih analizah.
Kakšne so vaše izkušnje z zaposlenimi v podjetju NETS?
Do sedaj nismo imeli slabih izkušenj. Vedno pripravljeni pomagati; tudi z asistencami preko telefonskih klicev. Odprto vprašanje preko e-maila, odvisno od težavnosti problema, rešijo še isti dan.
Kako vam aplikacija DNA pomaga pri delu, kaj vidite kot glavne prednosti aplikacije DNA, zakaj bi jo priporočili komu drugemu?
Aplikacija DNA je odlična podpora za obvladovanje sistema kakovosti tudi na tako zahtevnem področju, kot so zdravila. Njene funkcionalnosti omogočajo dosledno upoštevanje vseh zahtev zakonodaje in standardov kakovosti, obenem pa je zelo intuitivna in uporabniku prijazna. Zagotavlja sledljivost (audit trail), interno elektronsko odobravanje (dokumentov, aktivnosti, predlogov, …), arhiviranje, opomnike za izvedbo aktivnosti, …,. Posebno vrednost aplikaciji DNA daje njena povezljivost. Izhajajoč iz procesov lahko organizacija izjemno učinkovito obvladuje dokumentacijo, tveganja, odstope, druga povezana podjetja v okolju, presoje in nadzore, sestanke, izobraževanje osebja vključno s preverjanjem učinkovitosti. Vgrajene zahteve različnih modelov (poslovne odličnosti, standardov, zakonodajnih zahtev – npr. ESG) podpirajo celovito, konsistentno in učinkovito vodenje dokumentacije in poročanje brez nepotrebnega podvajanja dela.
Kakšne so vaše izkušnje z zaposlenimi v podjetju NETS?
Zaposleni v podjetju NETS so izjemno odzivni, s svojim poglobljenim znanjem in izkušnjami pomagajo iskati rešitve za izboljšanje učinkovitosti procesov uporabnikov aplikacije DNA. Potrebne spremembe izvedejo v zelo kratkem času. V komunikaciji so zelo prijazni, profesionalni.
Kako vam aplikacija DNA pomaga pri delu, kaj vidite kot glavne prednosti aplikacije DNA, zakaj bi jo priporočili komu drugemu?
Omogoča nam obvladovanje dokumentiranih informacij skladno z ISO9001; dokumenti so strukturirano shranjeni, selektivno dostopni zaposlenim, enostavno je izdajanje novih/verziranje in arhiviranje starih.
Enostavno je iskanje po dokumentih, koristni so izpisi v EXCEL, predloge za dokumente so vgrajene v sistem, sistem opozarja preko e-pošte in preko nadzorne plošče uporabnika. Veliko koristimo vprašalnike/ankete, akcije dokumente, sestanke, procese zaenkrat nekoliko manj (samo nekateri uporabniki).
Priporočili bi jo zato, ker imamo na razpolago na enem mestu veliko funkcij in procesov, vsebovan je »Audit Trail« in odobravanje akcij, dokumentov,…
Kakšne so vaše izkušnje z zaposlenimi v podjetju NETS?
S sodelovanjem za zaposlenimi NETS smo zelo zadovoljni. Podpora pri uvajanju je bila odlična, uvajalci so se potrudili, da so uporabniki hitro dojeli logiko sistema in osvojili veščine uporabe. Torej platforma se mi zdi zelo uporabna, pregledna in kaj je za mene v štartu bilo najpomembnejše, če so informacije in podatki pravilno vneseni, jih je mogoče zelo smiselno povezati in na relativno enostaven način razumeti kako je posamezen proces/podproces umeščen znotraj organizacije.

Naše podjetje, Precisium d.o.o., vodi dokumentacijo za ISO 9001:2015 v aplikaciji DNA od leta 2018. Na začetku so nam svetovalci podjetja Nets pomagali z vsebino, izrisali procese ter pomagali pri razumevanju aplikacije in same filozofije ISO 9001 standarda, kar začetnikom predstavlja kar težave. Zadnja leta dopolnjujemo dokumentacijo sami, če pa potrebujemo pomoč, nam vedno pomagajo.
Pred uporabo aplikacije DNA smo dokumentacijo ustvarjali v Wordu in Excelu, ter se ubadali s šifranti dokumentacije, ki smo jih shranjevali na naš strežnik. Takšen način dela je povzročal veliko stresa pri zagotavljanju preglednosti, sledljivosti in letnem ustvarjanju novih dokumentov.
Odkar uporabljamo aplikacijo DNA, nam ISO 9001 ne predstavlja več velikega stresa. Vse je pregledno shranjeno, vzpostavljene so povezave med ukrepi, dokumenti, poročili in tveganji. Ustvarjanje novih verzij dokumentov je enostavno, iskalnik pa omogoča hiter pregled dokumentacije. Zahvaljujoč DNA porabimo veliko manj časa za priprave tik pred auditi presojevalca, saj nam aplikacija omogoča sprotno delo skozi vse leto.
Presojevalci so z načinom posredovanja informacij na auditu zelo zadovoljni, saj se skrajša čas iskanja podatkov, kar prinaša pohvale na račun naše uporabe aplikacije. Vse je shranjeno na enem mestu, aplikacija DNA pa nam celo daje ideje za nenehno izboljševanje samega poslovanja podjetja.
Z DNA se dejansko bolj osredotočamo na izboljšave in manj na samo dokumentacijo, kar nam omogoča, da ne skrbimo zgolj za zadovoljitev presojevalca, temveč za resnično napredovanje našega sistema upravljanja kakovosti.
